Essential Job Duties

ESSENTIAL DUTIES AND RESPONSIBILITIES: Note: All City of Fayetteville positions require the employee to provide good customer service to both internal and external customers, maintain positive and effective working relationships with other City employees (especially members of his or her own team), and have regular and reliable attendance that is non-disruptive. Other essential duties of this position include the following:
 
  1. Manage Parks and Recreation files.
  2. Compose, type, edit and maintain routine to complex forms, correspondence and reports.
  3. Answer phone calls and arrange appointments, manage multiple calendars and schedule meetings between multiple departments.
  4. Prepare travel arrangements and forms for staff as needed..
  5. Attends Parks and Recreation Advisory Board and Tree and Landscape Committee meeting; record minutes; notify members, distribute agenda/materials, notifies media, keeps appropriate records and files of Board activities.
  6. Perform data entry of work orders for maintenance staff to record maintenance hours and work performed.
  7. Prepare and update the quarterly, monthly and annual reports (non-financial).
  8. Track, prepare and perform data entry of payroll, accruals, and time off.
  9. Assist with maintaining records and promotion of the volunteer program and the Tree and Landscape Committee Neighborwoods programs.
  10. Assist in scheduling meetings; distribution of meeting materials and notifying media in compliance with Freedom of Information Act.
  11. Perform other duties as assigned.

Secondary Job Duties

  1. Gather material on assigned subjects for preparation of reports, presentations, etc
  2. Assist staff with completion of Workers’ Compensation Forms.
  3. Assist in coordinating monthly Safety Meeting including but not limited to video selection, guest speakers, sign in forms, etc.
  4. Complete administrative paperwork/support including Policies and Procedures, providing information and assembling in charts, ordering office supplies and assist on the workplace Committee and Tree and Landscape Committee.
  5. Secondary duties as assigned.

Minimum Qualifications

  1. High school diploma or GED and two years of related experience and/or training.
  2. Effectively communicate with others orally and in writing.
  3. Must successfully pass criminal background check for felonies, theft offenses and or any conviction, no contest or guilty plea that would qualify to prevent a person from obtaining an Arkansas teaching certificate.
  4. Must be proficient in the use of a personal computer and other related software programs. Must be able to effectively operate standard office equipment.
  5. While performing the functions of this job, the employee is regularly required to talk or hear. The employee regularly is required to stand, walk, and sit; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
  6. While performing the functions of this job, the employee is regularly required to communicate effectively. The employee regularly is required to move; sit; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; stoop, kneel, and crouch. The employee must frequently lift and/or move up to 15 pounds. Specific vision abilities to accomplish computer and office work.
  7. Must possess a valid Arkansas Driver’s License.
  8. Must be proficient (or willing to become proficient) in Microsoft Access, and must possess fast and accurate typing skills of approximately 45-50 words per minute
