Description
Under the supervision of the Office Manager, incumbent provides customer service to the public and City of Bloomington employees, including department employees, through effective communication, clerical and secretarial support. The position also serves as the primary point of contact for City Hall visitors and to callers of the City’s main phone lines.

Essential (primary)
Answers telephone and greets City Hall visitors, determines nature of call, responds to inquiries and/or routes caller to appropriate person, department, or outside agency.
Drafts various documents for the department. Performs related clerical duties such as photocopying, faxing, and filing. Assists with special projects as needed.
Maintains Expense Spreadsheet for Utilities, Office Supplies, and Various vendors
Maintains financial records in the City’s financial system.
Maintains Atrium Staffing spreadsheet.
Maintain uReports that get assigned
Schedules and organizes meetings and other department activities.
Schedules any pool vehicle or bicycle requests made by an employee.
Opens, sorts, and distributes mail to appropriate department personnel.
Takes all reasonable steps to maintain a safe work environment.Non-Essential (secondary)
Maintains and updates department records and files, assuring convenient retrieval.
Runs various errands for the department as needed.
Assists in training and evaluating any temporary and/or part-time clerical employees.
Performs related duties as assigned.Job Requirements
Minimum experience equivalent to one year office experience.
Knowledge of standard office procedures.
Knowledge of English grammar, spelling, and punctuation, and ability to perform arithmetic calculations.
Ability to train and assist clerical staff on various software applications.

Incumbent performs duties in a modern office environment with no unusual physical demands. Work includes regular deadlines associated with completion of payroll.Personal Work Relationships
Incumbent maintains frequent contact with department superiors and co-workers, representatives of other governmental or public service agencies, and members of general public for a variety of purposes, including receiving daily assignments, assuring proper accomplishment of duties and departmental services, and explanation of department policies and procedures. Incumbent needs to deal with the general public and fellow employees in a courteous and tactful manner, during varied situations and circumstances.

- Eligible employees receive 13 paid holidays per year.They may earn up to 4 weeks (160 hours) of Paid Time Off in their first year of employment and 5 weeks (200 hours) in their second calendar year of employment.
- The City contributes 14.2% of a regular employee's salary to their retirement fund through the Indiana Public Retirement System (INPRS). Employees may contribute pre-taxed dollars to a 457(b) Deferred Compensation Plan account to supplement their retirement earnings. The City will contribute double the amount of the employee's 457 (b) contribution to a 401(a) account up to $30 per pay.
- Health, vision, and dental insurance premiums are subsidized by the City and are available on day one of employment to regular employees. Employees may elect the High Deductible Insurance plan with the City providing an HSA contribution and if the employee is a non-smoker or participating in the Tobacco Cessation program, the employee only plan is at no cost to the employee.
- Employees and their dependents (ages 3 and up) who are on the City's health insurance may utilize the City's Employee Health Clinic.
- Employees may receive over $2,400 per year in HSA contributions and wellness reimbursements, insurance discounts, and incentives.
- The City offers life insurance, accidental death and dismemberment, and long term disability insurance at no cost to employees. Employees may elect voluntary term life and short-term disability insurance.
- After 1 year of employment, six weeks of paid parental leave are available to eligible employees.
- City Employees can participate in the Sustainable Commuter Incentive program for financial incentive.
