Performs a variety of responsible clerical and technical support work involving the audit of work orders for VDOT Urban Maintenance Program eligibility; performs other clerical and accounting duties in support of department communications needs.

•Performs detailed audit of handwritten daily work orders for the Street Operations, Traffic Operations, and Drainage Maintenance divisions of Public Works to ensure work activity is fully eligible for VDOT Urban Maintenance Program; may also be required to perform random audits of work orders originated by the Parks Department for eligibility.

•Checks coding of each work order entered into work order system for eligibility based on location, work type, and financial charges (labor, materials, and equipment).

•Develops written list of discrepancies and coordinates with respective division manager and/or clerical staff audit findings for corrective action on each work order.

•Periodically provides Director of Public Works and/or his designee written report of all audit findings to include discrepancies and results of corrective actions taken by divisions. Advises Director and/or his designee of continual quality control issues and/or timely work order entry from divisions.

•May be required to serve as backup for initial work order entry into the work order system for the Street Operations, Traffic Operations, and Drainage Maintenance Divisions of Public Works

•Coordinates and administers annual services contracts for all Public Works communications devices (radios, pagers, cell phones, etc.).

•Prepares, updates, and distributes Public Works call out information.

•Prepares, updates, and distributes master listing of all Public Works contact information and distributes to other internal City Departments

•May answer telephones, greet and assist visitors; determines nature of business, resolves complaints, and answers questions involving complex issues or refers matter to the appropriate person for resolution. Responds to a variety of requests and inquiries from internal and external customers.

•Performs related duties as required.

Typical Qualifications_Edited

Graduation from high school or successful completion of GED, preferably supplemented by business school or college coursework in accounting or bookkeeping.

Some experience in accounting, bookkeeping which involves data entry and automated recordkeeping. Some experience in municipal government accounting or fiscal recordkeeping preferred. Exceptional customer service skills required.

Must be able to perform mathematical computations with speed and accuracy. Proficiency in use of personal computer with thorough knowledge of Microsoft Office software to include Word and Excel; knowledge of GBA work order system desirable.

Ability to interpret policies and procedures; ability to follow complex oral and written instructions. Must be able to establish and maintain effective working relationships with other employees and the general public.

Required to possess a valid Virginia Motor Vehicle Operator License and have a satisfactory driving record based upon City of Hampton criteria. An acceptable combination of education and experience that qualifies the applicant may be substituted for the more specific requirements outlined above.

Performs duties under the general supervision of designated department staff. Must be able to interact with other department staff and the public in an effective and courteous manner. Must be able to independently perform audit and administrative tasks with minimum supervision. This position is non-exempt.
