CAREER DESCRIPTION
INFORMATION PROCESSING TECHNICIAN This recruitment announcement will be posted until Tuesday, May 21, 2013. During the announcement period you may begin preparing your application material and supplemental responses. Online applications for Information Processing Technician will be accepted beginning Wednesday, May 22, 2013 through Thursday, May 23, 2013. This recruitment will close at 11:59 p.m. on May 23, 2013. An examination will be administered at the Santa Ana Regional Center, 1928 S. Grand Ave., Santa Ana on Friday, June 7th, 2013 and Saturday, June 8th, 2013. Information Processing Technicians produce a variety of difficult and complex materials requiring the application of advanced keyboarding and correction skills and subject matter knowledge in the production of finished products.
Examples of what the Information Processing Technician does:
- As a continuing and primary responsibility, uses a keyboard to produce a variety of materials which might include business letters, memos, reports, correspondence, Agenda Item Transmittals (AIT's), proposals, manuals, financial and statistical documents; enter, store and manipulate information in text, chart and graph formats.
- Determines and sets up formats, correct spacing, tabs, and centering; operate peripheral equipment such as scanners, printers, modems, disk drives and telecommunication equipment.
- Reviews and proofreads materials to correct spelling, grammar, justification, pagination, hyphenation, sentence structure and word usage errors and to identify completeness and appropriateness of the content of the document; proofs final document to ensure signature readiness.
- Keyboards from rough draft, recordings or a variety of source documents; may use transcription or automated information processing equipment and accompanying software programs.
- Reviews the work of and act as lead worker for other employees in same or lower level classes; assists in training new workers; acts for supervisor in his or her absence.
- In addition to the primary assignment, may perform some general office duties including compiling information, calculating data, keeping records, maintaining files, answering phones and assisting the public, and taking informal minutes.
THE IDEAL CANDIDATE:
Successful candidates will possess the following knowledge and abilities:
Thorough knowledge of:
- Principles of writing and grammar, including proper report and correspondence format, correct spelling and proper word usage, grammar, punctuation and sentence structure.
Knowledge of:
- Modern office practices and procedures, including filing and operating office equipment.
- Methods and procedures of a particular office may be required for some assignments.
- One or more types of automated information-processing programs, equipment and terminology may be required for some assignments.
Ability to:
- Type at a corrected rate from 45 to 60 words per minute depending upon assignment.
- Conceptualize text, chart, graph, report and letter formats.
- Read, understand and independently follow written and verbal instructions.
- Quickly and accurately enter, format, revise and print a wide range of information in text, chart, graph, and report and letter format.
- Accurately proofread documents.
- Learn the procedures and regulations governing the area of assignment, and the terminology and documents used and apply that knowledge to the specific operations of the office.
- Effectively communicate orally, accurately receiving and transmitting information; establish and maintain cooperative relations with the public and others.
- Perform a variety of general office tasks.
- Operate one or more specific types of automated information processing equipment and software programs (may be required for some assignments).
- Use a County-approved means of transportation to travel among County facilities (may be required for some assignments).
- Speak, understand, read/or write a second language in addition to English (may be required for some assignments).
MINIMUM QUALIFICATIONS:
Education/Experience:
- Two years of experience related to the knowledge and abilities listed below. Education and/or training may be substituted for the required experience as follows:
- Completion of 18 semester or 27 quarter units in secretarial sciences, office practices, business education or a closely related field from a recognized college is considered to satisfy one year of required experience.
- Completion of 360 hours of training from a recognized occupational training program in secretarial sciences, office practices, business education or a closely related field is considered to satisfy one year of required experience; completion of 700 hours of training from a recognized occupational training program in secretarial sciences, office practices, business education or a closely related field is considered to satisfy both years of required experience.

SELECTION PROCEDURE/ELIGIBLE LIST:
This recruitment is being held to establish an Open Eligible List. Those candidates whose applications meet the minimum qualifications will be referred to the next step in the selection process which is a basic skills written exam. Those passing the written exam will be invited to take a keyboard exam. Applicants who pass both exams will have their names added to an eligible list and may be contacted for an interview.
NOTE: Please include your current email address on your application. The Human Resource Services will use email as the primary means of contacting candidates.
Written Exam: (Refer/Non-refer)
A written examination consisting of job-related multiple-choice questions will be administered on Friday, June 7th, 2013 and Saturday, May 8th, 2013. Invitations to participate in the written exam will be sent via e-mail a week prior to the exam. The location for both exams will be 1928 S. Grand Ave. Building A in Santa Ana. Candidates who successfully pass the multiple-choice exam will immediately be given the Performance Test which is an automated keyboard exam.
Performance Test: (Weighted 100%)
Successful candidates will be required to complete an automated keyboard test. Candidates who type 45 wpm or more with 70% or higher accuracy rate will be placed on an eligible list. Those typing less than 45 wpm and/or with less than 70% accuracy will not pass the test. Candidates will be notified of the results of the Keyboard Exam and their status in the competition at a later date.
Eligible Test:
After all the test procedures have been completed, Human Resources will establish an eligible list of up to three categories of qualified candidates. Candidates will be notified of their status on the eligible list.
Based on the needs of the County and the number of applications received, the selection procedures listed above may be modified and all affected candidates will be notified.
PHYSICAL AND/OR MENTAL REQUIREMENTS AND ENVIRONMENTAL CONDITIONS:

Physical Characteristics:

Environmental Conditions:
Ability to work in an office environment and work with changing priorities, deadlines and multiple assignments concurrently.

BACKGROUND VERIFICATION:
A background check consisting of employment history, professional references, criminal check and educational verification (i.e., degree, license, or official transcript) may be conducted. All candidates will be required to pass the background check to the satisfaction of the specific Agency or Department. Some positions may require candidates to possess a valid California Class C Driver License by date of appointment. In addition, for some positions candidates must pass an extensive background investigation to the satisfaction of the Department, and must not have been convicted of a felony or be on any form of probation.

WORK SCHEDULE:
Most County positions are full-time, with incumbents scheduled to work during regular business hours. Orange County Sheriff-Coroner Department (OCSD), the Probation Department and Social Services Agency have a 24 hours/7 days a week operation. Some positions may require incumbents to be periodically rotated through shifts and may work nights, weekends and holidays.
