CAREER DESCRIPTION



DATA ENTRY TECHNICIAN
Orange County Human Resources will accept online applications for Data Entry Technician beginning
Wednesday, May 15, 2013 through Thursday, May 16, 2013.
This recruitment will close at 11:59 p.m. on May 16, 2013.

An examination will be administered at the Santa Ana Regional Center, 1928 S. Grand Ave., Santa Ana on Friday, May 31, 2013 and Saturday, June 01, 2013.

This recruitment is being held to establish an eligible list to fill vacancies in this classification within the County.

Examples of what a Data Entry Technician does:

 
  • As a primary responsibility, uses a keyboard or data entry terminal to enter alpha and numeric data.
  • Reviews documents for completeness, accuracy and consistency with procedures prior to entry.
  • Extracts data from document and coding for entry.
  • Batches and routes documents.
  • Generates reports, charts and graphs.
  • Operates peripheral equipment such as scanners, printers, modems and disk drives.
  • Maintains statistics.




 

 

MINIMUM QUALIFICATIONS:

Education/Experience:

 
  • Requires one year of experience in the use of automated data processing equipment.
  • Education and/or training may be substituted for the required experience as follows:
    • Completion of 18 semester units or 27 quarter units from a recognized college in secretarial sciences, office practices, business education or a closely related field, with an emphasis on the use of automated data entry equipment.

      OR
    • Completion of 360 hours of training from a recognized occupational training program in secretarial sciences, office practices, business education or a closely related field, with an emphasis on the use of automated data entry equipment.

      Candidates substituting education and/or training for the necessary experience must complete the Education and/or Certificate sections on their application and answer the corresponding supplemental question.

Knowledge of:
  • Data entry terminology and equipment

Ability to:
  • Key data at a rate acceptable for position requirements.
  • Enter, query and generate a wide range of information from a variety of data sources.
  • Review and verify documents.
  • Memorize and use information codes.
  • Review and verify documents for completeness, accuracy and consistency with procedures.
  • Understand and follow oral and written instructions
  • Understand the procedures and regulations governing the areas of assignment; the terminology and documents used and apply that knowledge to the specific operations of the office.

 

SELECTION PROCEDURE/ELIGIBLE LIST:

The Human Resources Department screens all applications and supplemental information to identify the qualified candidates. Applications submitted without completed supplemental information will be disqualified from further consideration. After screening, the more qualified candidates will be referred to the next step in the process

Written Exam: (Refer/Non-Refer)
A written examination, consisting of job-related multiple-choice questions, will be administered on Friday, May 31, 2013 and Saturday, June 01, 2013. Invitations to participate in the written exam will be sent via e-mail a week prior to the exam. The location for both exams will be 1928 S. Grand Ave. Building A in Santa Ana. Candidates who successfully pass the multiple-choice exam will immediately be given the Performance Test which is an automated keyboard exam.

Performance Test: (Weighted 100%)
Candidates will be required to pass an automated Keyboard Exam. In order to be placed on the eligible list, candidates must keyboard at a corrected rate of 5000 keystrokes per hour with a minimum rate of 85% accuracy. The accuracy rate determines the placement in score groups on the eligible list. Candidates will be notified of the results of the Keyboard Exam and their status in the competition at a later date.

Based on the needs of Human Resources Department and the number of applications received, the selection procedures listed above may be modified and all affected candidates will be notified.

After all the test procedures have been completed, an eligible list will be established of up to three categories of qualified candidates. Candidates will be notified of their status on the eligible list.


 

PHYSICAL AND/OR MENTAL REQUIREMENTS AND ENVIRONMENTAL CONDITIONS:

Physical Requirements:
Vision sufficient to read standard text, fine print and various handwritings and to view computer monitor; speak and hear well enough to communicate clearly and understandably in person and over the phone; body mobility sufficient to stand, sit, walk, stoop, and bend routinely to perform daily tasks; ability to sit for prolonged periods of time; manual dexterity to use hands, arms and shoulders repetitively to operate a keyboard and use other office equipment such as stapler, telephone and photocopy machine.

Environmental Conditions:
Ability to work in an office environment and work with changing priorities, deadlines and multiple assignments concurrently.

BACKGROUND VERIFICATION:

A background check consisting of employment history, professional references, criminal check and educational verification (i.e., degree, license, or official transcript) may be conducted. All candidates will be required to pass the background check to the satisfaction of the specific Agency or Department. For positions with the Orange County Sheriff-Coroner Department (OCSD), candidates must possess a valid California Class C Driver License by date of appointment. In addition, for positions with both OCSD and the Probation Department candidates must pass an extensive background investigation to their satisfaction and must not have been convicted of a felony or be on any form of probation. Foreign degrees require an evaluation for U.S. equivalency by an agency that is a member of the National Association of Credentials Evaluation Services (NACES).

Education information provided must be verified. Individuals hired by the County of Orange through this recruitment will be required to provide an official copy of diploma, college transcripts or official evaluation of foreign degree for U.S. equivalency within two weeks following the employment start date.


 

WORK SCHEDULE:

Most County positions are full-time, with incumbents scheduled to work during regular business hours. Orange County Sheriff-Coroner Department (OCSD), the Probation Department and Social Services Agency have a 24 hours/7 days a week operation. Some positions may require incumbents to be periodically rotated through shifts and may work nights, weekends and holidays.
