Essential Job Duties

  1. Provide good customer service to both internal and external customers, maintain positive and effective working relationships with other City employees (especially members of his or her own team), and have regular and reliable attendance that is non-disruptive.
  2. Type, retype and properly format legal memoranda with proper case citations for Senior City Staff and Aldermen.
  3. Provide office management for the City Attorney’s Office to include maintaining inventory of stationary, departmental correspondence sheets, paper, toner for printers and fax/copier, files, staples, pens, etc; place orders for new equipment and supplies, submit check requests to Accounting as needed.
  4. Maintain personnel files and reports for City Attorney’s Office including bi-weekly work records, vacation schedules and sick leave reports.
  5. Perform a variety of permanent filing functions, requiring considerable knowledge of filing skills with an emphasis on accuracy of maintaining attorney’s case files and subject matter files.
  6. Answer multi-line telephone and handle all walk-in traffic in a professional and courteous manner; schedules appointments, directs callers or visitors to correct City Division or answer routine inquiries.
  7. After every City Council meeting, the incumbent must include any amendments made by the City Council, organize all ordinances and resolutions and submit to City Clerk in both written and e-mail format.
  8. Must understand and use proper purchasing procedures for all items needed for City Attorney’s Office.
  9. Make business travel plans, reservations, etc. and complete travel authorization and compensation forms for the City Attorney’s Office.
  10. Must recognize and understand specialized legal terminology, proper case citations, footnotes, headings, placement of quotations within memos and formal Briefs.
  11. Must be able to utilize written manuals such as AR Legal Director, Vendor File lists, Municipal Legal Form books, etc. and understand how they relate to job duties.
  12. Sorts and distributes incoming mail; assembles files and other materials as needed.
  13. Make travel arrangements for staff as needed.
  14. Enter data onto computer in an accurate manner.
  15. Process purchase orders, check requests and purchasing card transactions.
  16. Perform other related duties as required or assigned.

Minimum Qualifications

  1. High School Diploma or GED and two (2) years of related office and/or administrative related experience.
  2. Effectively communicate with others orally and in writing.
  3. Requires the use of tack, initiative, and independent judgment in dealing with difficult citizen complaints, requests for assistance, information or service to the public.
  4. Ability to read legal documents; and must have the ability to respond in a professional manner to common inquiries from citizens, regulatory agencies, or members of the business community.

  6. Must have thorough knowledge of administrative practices and procedures. Considerable skill in typing, proficient in the use of a personal computer and other related software programs such as word processing applications (i.e. Microsoft Word,), spreadsheet applications (i.e. Excel). 
  7. Must be able to multi task and prioritize work load with frequent interruptions. Position is required to work under considerable pressure with frequent interruptions and tight deadlines to accomplish assigned responsibilities.
  8. While performing the functions of this job, the employee is regularly required to sit, stand, use hands to finger, handle, or feel, reach with hands and arms, climb, balance, stoop, kneel, and crouch. The employee must frequently lift and/or move up to 25 pounds, and occasionally lift and/or move up to 50 pounds.   
  9. “Notary” Status
  10. Valid Arkansas driver’s license is required.

Full Time, 38 or more hours per week, non uniformed employee.  Eligible for all City benefits offered to full time non uniformed employees and all full time City accruals.  Also eligible for all City employee perks and discounts.
