Essential Job Duties

  1. Provide good customer service to both internal and external customers, maintain positive and effective working relationships with other City employees (especially members, of his or her own team), and have regular and reliable attendance that is non-disruptive.
  2. Manage and continuously develop the City’s Volunteer program, including serving as primary operator of the City’s Volunteer Database software that volunteers will see on the City’s web site (and that interfaces with Departmental needs). Interact with City Departments/Divisions and volunteers on an ongoing basis in order to maintain the database of volunteer opportunities, volunteers, and match volunteer opportunities to volunteers willing to perform those tasks. Serve as liaison between staff and volunteers, work to resolve issues that may arise. Function in a supervisory capacity to the extent of providing constructive feedback; reviewing circumstances and determining if a volunteer’s assignment should be terminated.
  3. Proactively identify volunteer opportunities. Develop and maintain an understanding of the City’s Department/Division operations for purposes of understanding the scope of their volunteer assignments. Ascertain the skills and/or training necessary to perform those volunteer assignments.
  4. Exercise independent judgment in working with supervisors to develop and maintain assignment descriptions for volunteer opportunities, including required skill/abilities, schedules and necessary time commitment.
  5. Plan and conduct orientation meetings and/or general training for new volunteers. Coordinate with departments/divisions to ensure any necessary, assignment specific training will be provided to the volunteer(s) on site.
  6. Track and maintain records of volunteer service hours to document the performance of the volunteer program, including tracking the economic impact of volunteer efforts. Track and maintain records of individual volunteer performance. Prepare clear and concise reports to monitor the success of the volunteer program.
  7. Develop and implement a volunteer recognition program, recognizing both individual volunteers as well as volunteer organizations.
  8. Make presentations to City Council, members of City management, and various community organizations, student groups and others to provide information about volunteer program events and opportunities.
  9. Coordinate and provide support for the neighborhood organizations in the City of Fayetteville. This includes coordinating with city departments to ensure that neighborhood concerns are addressed and effectively communicating with neighborhood associations about city events and meetings.
  10. Attend and organize Council of Neighborhoods meetings.
  11. Provide public relation support to city departments and divisions as needed, including graphic design.
  12. Responsible for providing support for the Fayetteville Forward program including writing press releases and communicating with the press about Fayetteville Forward related items.
  13. Create city newsletter for distribution. Write and solicit articles from various city departments and programs.
  14. Coordinate and manage special community outreach events, such as Fayetteville Forward annual event, and related budgets.
  15. Provide support for communication with the public through social media tools and identify alternative opportunities for communication and increasing community engagement.
  16. Perform other duties as assigned.
 
 

Secondary Job Duties

Minimum Qualifications

  1. Bachelor’s Degree from four year accredited college or university (major in Communications or Journalism preferred) and one year of experience directly relating to Volunteer Administration. 
  2. Possession of or ability to obtain a valid Arkansas driver’s license and safely operate a  motor vehicle. Must have reliable transportation. Job requires traveling to local    organizations as part of some workdays.
  3. Ability to multi-task and work independently with minimal supervision of day-to-day  tasks.
  4. Ability to identify proposed volunteer positions that may be more appropriately designated as true employee positions, for purposes of wage and hour law compliance, in conjunction with instructions from the HR Director.
  5. Ability to maintain volunteer files and data; keep personal/sensitive volunteer information confidential.
  6. Position requires high degree of organizational skills and ability to prioritize                appropriately and meet deadlines.
  7. Ability to use computers and software. Must have good spreadsheet and word processing skills, and ability to use e-mail related software. Must have ability to learn and master new software, especially the “Volgistics”[s1]  software that manages the City’s volunteer system. Ability to use graphic and web design software, Adobe Creative Suite and Dreamweaver. Ability to use social media tools, such as Facebook and Twitter.
  8. Ability to use standard office equipment (fax, telephone, copier, etc.)
  9. Ability to utilize basic math skills such as adding, subtracting, multiplying, dividing, and using fractions.
  10. Ability to work 8:00 – 5:00 p.m. Mon – Fri, plus occasional additional evenings as public presentations and other meetings may require, and be “on call” for purposes of being consulted by phone (or possibly go to a work site) on evenings or weekends in the event a dispute or other emergency situation involving a volunteer arises.

Full Time, 38 or more hours per week, non uniformed employee.  Eligible for all City benefits offered to full time non uniformed employees and all full time City accruals.  Also eligible for all City employee perks and discounts.
